Privacy Policy

This page also serves as the privacy policy for the Easy DAT listing on the Chrome Web Store.

This policy explains how Easy DAT ("we", "us") collects, uses, shares and protects information when you use our Chrome extension and our website at https://easydat.us.

1. Information We Collect

  • Account information — your email address, used to create your account and send your sign-in code. If you sign in with Google, we receive your email address, name, profile picture and basic profile identifier from Google.
  • Load-board page data — while you are on the DAT One "Search Loads" page, the extension reads the load and broker details shown on that page (such as origin, destination, broker name and identifiers) so it can display broker credit, market conditions, the route map, filters and the ignore list. This reading happens in your browser. Broker or lane identifiers are sent to our servers or to a data provider only to look up the credit and market information you asked to see.
  • Gmail sender connection (optional) — if you choose to link a Gmail address so Easy DAT can email a company from a load for you, we receive that Gmail address and a Google authorization (a refresh token) that lets us send email from it on your request. We also keep a log of each email sent: your sender address, the recipient address, the time and whether it was delivered. We do not store the text of your emails, only the message templates you write yourself.
  • Outlook / Microsoft 365 sender connection (optional) — if you choose to link an Outlook or Microsoft 365 address, we receive that address and a Microsoft authorization (a refresh token) that lets us send email from it on your request. The same send log is kept, and again no email text is stored.
  • Subscription and billing information — your plan, its status (active, trialling, past due or cancelled), payment records, and a non-sensitive Stripe customer reference.
  • Technical data — IP address, browser type and version (user agent), extension version, device name, and request logs and diagnostic error logs.
  • Settings — your extension settings, such as your ignore list and dark-mode preference.

2. How We Use Your Information

To create and secure your account; to provide the extension's features (including sending the emails you ask us to send); to process your subscription; to provide support and send billing and service notices; to improve the extension, fix bugs and prevent abuse; and to meet legal and tax obligations.

3. What We Do Not Collect

  • We never collect or store your DAT One password. You sign in to DAT One directly with DAT, not through us.
  • We never collect or store payment card details. Card data is entered on Stripe's checkout and is handled entirely by Stripe.
  • We never read, search, list or delete your Gmail messages. The only Gmail permission we request is to send email on your behalf.
  • We never read, search, list or delete your Outlook mail. The only Microsoft mail permission we request is to send email as you (Mail.Send).
  • We do not sell your personal data and do not use it for advertising.

4. Google User Data and Limited Use

Easy DAT asks for these Google permissions: your email address and basic profile (to sign you in, and to tell which Gmail address you linked), and, only if you link a Gmail address, the Gmail permission "Send email on your behalf" (https://www.googleapis.com/auth/gmail.send).

  • Use. We use the Gmail permission only to send an email that you wrote or chose and explicitly asked us to send, from the address you linked, to the company shown on the load. We do not use it for anything else.
  • Storage and protection. The authorization (refresh token) is stored encrypted on our servers and is used only when you press Send. We keep no Gmail message content.
  • No sharing. We do not transfer Google user data to others, do not sell it, do not use it for advertising, and do not let people read it, except as needed to provide the sending feature you asked for, to comply with law, or for security and abuse prevention.
  • Removing access. You can unlink a Gmail address at any time in the extension's "Email accounts" screen, which deletes our stored authorization and revokes it at Google. You can also revoke Easy DAT at myaccount.google.com/permissions.

Easy DAT's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

5. Microsoft User Data (Outlook / Microsoft 365)

Only if you link an Outlook or Microsoft 365 address, Easy DAT asks Microsoft for these delegated Microsoft Graph permissions: Mail.Send (send mail as you), User.Read (to read which address you linked), and offline_access, openid and email (to keep the link working without signing in each time). We do not request any permission to read, search or delete mail, contacts, calendars or files.

  • Use. We use Mail.Send only to send an email that you wrote or chose and explicitly asked us to send, from the address you linked, to the company shown on the load. Microsoft saves a copy in that mailbox's Sent Items, as with any email you send.
  • What we store. The address and the Microsoft refresh token, encrypted on our servers (AES-256-GCM) and used only when you press Send; Microsoft replaces the token as it is used and we keep only the newest. The send log (sender, recipient, time, result) is deleted after 90 days. We keep no email content.
  • No sharing. We do not sell Microsoft user data, do not use it for advertising, and do not transfer it to others except as needed to provide the sending feature you asked for, to comply with law, or for security and abuse prevention.
  • Removing access. Unlinking the address in the extension deletes the stored authorization at once. You can also remove Easy DAT at myapps.microsoft.com (work accounts) or account.live.com/consent/Manage (personal accounts), and a Microsoft 365 administrator can remove it for the whole organization under Microsoft Entra → Enterprise applications.
  • Organization approval. Some organizations let only an administrator approve apps. An administrator who approves Easy DAT allows each member to link their own mailbox; it does not let Easy DAT send as, or read, anyone who has not linked.

6. Sharing of Your Information

We share data only with service providers that process it on our behalf under their own terms, and where the law requires it:

  • Stripe — payment processing, subscription billing and the billing portal.
  • Google — optional sign-in, sending the emails you ask us to send through your linked Gmail address (Gmail API), and distribution of the extension through the Chrome Web Store.
  • Microsoft — sending the emails you ask us to send through your linked Outlook or Microsoft 365 address (Microsoft Graph).
  • Resend — delivery of sign-in code emails.
  • Hosting and data providers — infrastructure that runs our servers and supplies broker credit and market information.

7. Data Retention

We keep account data while your account exists and for up to 30 days after deletion in backups. Billing records are kept as long as tax and accounting law requires. Request logs and diagnostic logs are kept for a limited period and then deleted. The log of sent emails is deleted after 90 days. A linked Gmail or Outlook address and its stored authorization are kept until you unlink it or your account is deleted.

8. Your Data Protection Rights

You can ask us to access, correct, export or delete your personal data, to restrict or object to certain processing, and to withdraw consent where it applies. To delete your account and its data, email easydatapp@gmail.com from the address you use to sign in, with the subject "Delete my account". We confirm and complete deletion within 30 days. Deleting your account cancels your subscription, removes your stored settings, and deletes your linked Gmail and Outlook addresses, their stored authorizations (Gmail ones are also revoked at Google) and the log of sent emails. Uninstalling the extension removes locally stored data from your browser.

9. Security of Your Information

Data is transmitted over encrypted connections, and access to our systems is limited to people who need it. No system is perfectly secure, but we work to protect your information and will notify you if a breach affects your account.

10. Third-Party Links

Our website and extension may link to external sites, including DAT One, Stripe, Google and Microsoft. We are not responsible for their privacy practices.

11. Children

Easy DAT is a business tool and is not directed to anyone under 18.

12. Updates to This Policy

We may update this policy. The updated policy will be posted on this page, and material changes will be announced by email or inside the extension.
